Review source ownership, permitted access, connector credentials, and user permissions before collection or indexing. Public contact forms should contain a project description rather than sensitive records.
Deployment requirements
Discuss whether processing and indexes need to stay within your environment, which administrators require access, and how applications will authenticate. A deployment architecture is selected during scoping, not assumed from a website description.
Validation and traceability
Define checks for extracted fields, duplicated records, entity labels, and source attribution. Test search relevance using representative queries and document which checks are part of the agreed delivery.
Retention and operations
Specify source retention, index refreshes, deletion behavior, logs, backups, monitoring, and handover responsibilities in the implementation plan.
